Guidelines regarding the diversion plan of in-person instruction on campus starting from 2021/9/27

Based on the announcement, “The diversion plan of in-person instruction on campus starts from 2021/9/27,” teachers and students abide by the following guidelines:

I. The in-person diversion plan follows the CECC regulations

  1. Teachers and students must wear masks throughout the course and keep their hands clean. Eating and drinking are prohibited during the course.
  2. Keep social distancing: 1 meter outdoor, 1.5 meter indoor (2.25 m2/person).
  3. Teachers must take attendance to record the participation of each student and keep the seating chart for reference.
  4. In the classroom, real-name registration system should be applied. Students also should have fixed seats. Open the windows to maintain ventilation.

II. Operation

  1. Day division: Based on the weeks of the academic calendar. During odd weeks (the 3rd, 5th, 7th, etc.), students with odd-numbered ID return to the campus. During even weeks (the 4th, 6th, 8th, etc.), students with even-numbered ID return to the campus. Because of the diversion plan, the hybrid instruction which is face-to-face combining synchronous online teaching should be conducted.
  2. Night division (Continuing Education): Face-to-face instruction without the diversion. Courses with more than 40 students should be conducted in hybrid instruction using two separate classrooms.
  3. Graduate programs: Face-to-face instruction without the diversion.
  4. Distance courses: If students need to return to the campus during some weeks, the teacher can arrange for a diversion or stay online.
  5. Courses with more than 80 students should be conducted online instruction synchronously.

III. Numbers of students in a classroom

  1. For elective courses, if the number of the students in a classroom after the diversion is still larger than the capacity of the classroom (see the attachment 1: the number of the capacity of the classroom), please adjust the number of the students accordingly to follow the CECC regulations. Due to the needs of the courses, there might be some changes for classroom arrangement. Please confirm your classrooms again before the class begins.
  2. If a course has been divided into two groups based on students’ IDs (such as conversation, writing, etc), and the number of the students in a group is still larger than the capacity of the classroom, the teacher should adjust the number of the students to meet the CECC regulations. Students in those particular courses are allowed to be in the classroom without following the semester weeks. Please send a copy of the list of students after the diversion to the Office of Academic Affair for reference.
  3. If the number of the students in a classroom (before diversion) is already smaller than the capacity of the classroom, after the agreement among the teacher and the whole class, the teacher can fill out the “Face-to-Face Instruction Application Form” (attachment 2) with the signatures of all students as a proof (electronic files are accepted as well). After being approved by the chairperson of the department and the dean of the college, a duplicated copy should be sent to the Office of Academic Affairs for reference. All students of that particular course should go to the classroom regardless the diversion.

IV. Notes on hybrid instruction

  1. Hybrid mode: Please post the link URL of online course and announcements on Cloud e-Learning and practice with the students so that students can be familiar with the online synchronous course. Use email or message board of Cloud e-Learning to ensure that any important announcements can be forwarded to the students.
  2. Midterm and final:

(1) Online assessments and evaluations are strongly suggested.

(2) For the college courses including the General English Program, teachers can decide the examination means and times.

(3) The exams for the first to third-year students of 5-year junior college should be divided into morning and afternoon sessions. The teachers should prepare A and B exam papers.

(4) All examination information should be announced and made known to students by posting the announcements on Cloud e-Learning and ensure that important announcements can be forwarded to the students.

  1. For PE/outdoor class: Teachers only need to conduct face-to-face instruction on Physical Education courses or other outdoor courses without using hybrid instruction. For students who cannot enter the campus, teachers should plan online learning or training for self-study.

V. Hybrid instruction supports

  1. For online synchronous mode: Teachers can conduct hybrid instruction by using the E-platform, webcam and projector in the classroom (see the attachment 3: the operation of face-to-face plus synchronous online instruction). Use online meeting platforms, such as Google Meet or Microsoft Teams, to conduct hybrid instruction.
  2. Teacher training: The Information and Instructional Technology Center will prepare 26 training sessions (30 minutes for 1 session) on 9/22 and 9/23 for teachers to be familiar with the operation of the technological facilities (see the attachment 4: the training programs of operation of face-to-face plus synchronous online instruction).
  3. If teachers have any questions about the online synchronous teaching software, please check "Distance Learning Guidelines for Teachers" and "Distance Learning Guidelines for Students" in the "Quick Links" section on the homepage of the Center for Faculty Development. The website provides instruction manuals of various types of online synchronous teaching software. If teachers have any questions related to the operation of the software, please contact the Center for Faculty Development to schedule an individual consultation. If you have any questions related to the operation of the E-platform, please contact the Information and Instructional Technology Center.

VI. Special matters can be applied in accordance with the administrative procedures through the chairpersons of the departments and centers.

Meanwhile, we will readjust the epidemic prevention measures on campus accordingly and timely as announced by CECC. We appreciate your patience and cooperation in protecting our loved ones in Wenzao. Thank you for your consideration and cooperation.

Best regards,
